Alumni Admission Coordinator

Job Summary

The Alumni Admission Coordinator represents Millsaps College and engages alumni volunteers for events, recruitment efforts, and other alum activities throughout the year. This position will identify alums for chapter events and plan and execute those events for the presidential tour. This position will also develop and implement strategies to identify potential recruiting prospects within the alumni market and to actively engage alumni in recruiting prospective students. The coordinator will train alumni on email, phone and letter campaigns and organize assistance with on-campus and regional recruitment events and college fairs. The ideal candidate is a highly collaborative self-starter with superior customer service skills and professionalism. The coordinator must demonstrate an ability to work independently as well as collaboratively with team members, faculty, students, alumni, administrators and staff.

This is a part-time position that includes occasional evening and weekend duties. The expected schedule for this position is 20 hours per week during our regular office hours which are Monday through Friday from 8:00 am – 4:30 pm. This position reports to the Executive Director of Alumni and Parent Relations.

Job Duties

  • Plan and execute local and regional events involving alumni including those for the upcoming presidential tour.
  • Create an alumni admission recruitment plan with the guidance of the Director of Admission. The plan includes strategies to engage alumni in admission recruitment activities to include outreach, event planning and representation for the college.
  • Develop a process for recruiting, training and mobilizing alumni volunteers, with input from the Institutional Advancement team.
  • Collaborate with our growing alumni network to develop new student/professional networks and garner student referrals. Update the alumni referral process as needed.
  • Create a database of alumni volunteers. Network with alumni and become familiar with key recruitment territories to effectively increase alumni volunteers.
  • Determine key performance indicators and regularly measure success. Utilize data to adjust processes to effectively meet the College’s enrollment goals.
  • Attend training sessions to receive updated information about new programs and services in order to lead training for alumni volunteers.
  • Train alumni volunteers on key elements of the recruiting and admission process. Provide alumni with recruiting materials and other items to support alumni outreach efforts to prospective students.
  • Other duties assigned by the Executive Director of Alumni and Parent Relations or the Vice President of Institutional Advancement.

Qualifications

  • Must be a Millsaps College alum
  • Bachelor’s degree in business, communications, marketing or a related field
  • 2-3 years of experience in recruiting, project management or marketing; experience within higher education preferred
  • Excellent written and oral communication skills with strong phone etiquette
  • Ability to follow directions and complete tasks accurately as well as accept supervisory input and constructive criticism
  • Goal oriented and intrinsically motivated with superior customer service skills
  • Demonstrated professional experience with MS Office Suite; Ability to work in a CRM is preferred
  • Able to learn new technologies quickly and to work within multiple systems and programs to find, utilize, and input data
  • Ability to build relationships with alumni and guide them through recruitment activities

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Manual dexterity needed for keyboarding and other repetitive tasks.
  • Must be able to lift and move up to 25 pounds without assistance and occasionally lift and/or move up to 40 pounds.
  • Candidate may also be required to stand for extended periods during college fairs or events.
  • Travel and/or irregular hours during high volume periods, including evenings and weekends, are required.
  • Candidate must have a valid driver’s license and insurability.
